Load-in at 5:00pm should stay 5:00pm on every night of the run — even when doors move. That’s Clock time. If you want soundcheck to stay one hour before doors, choose Before or after event.
You set this on the Time row for a schedule item: in Settings (the type’s default), on an event template, or on a live event.
To add load-in, soundcheck, and other rows on an event, see Add schedule and to-do items to an event. To read those times on a runsheet, see Read schedule times on runsheets.
Clock time
Open a schedule item (or Settings → Event Options → Edit Event Item).
Leave the dropdown on Clock time.
Type the start (and optional end) the way you say it: 5:00pm load-in, 11:00pm curfew.
That clock is what gets saved. Applying an event template to a later night still uses 5:00pm and 11:00pm. Changing doors on the live event does not drag those items. If you move the show to another date, the same clocks land on the new night.
Overnight ends wrap past midnight: a headliner from 11:00pm to 12:00am ends the next morning, not 12:00am that morning.
Before or after event
On the Time row, choose Before or after event.
Pick a gap from event start — for example 1 hour before start or 30 minutes after start.
Use Custom if you need a different number of minutes.
These items move when the event times change. Change doors from 9:00pm to 10:00pm and “1 hour before start” becomes 9:00pm.
Turn on End time to set a separate end. Start and end can each follow event start or event end — for example check-in 1 hour before start and 1 hour after end. Changing the End dropdown does not rewrite Start.
Event templates
Existing templates that only stored a gap from doors are read as clock times using that template’s default start. You don’t need to re-save every template. Saving a template again stores the clocks you see.
When you apply a template to an all-day day (no doors time), schedule clocks land on that date. You’ll see a short note before you replace the event.
Time TBD stays unscheduled — no clock and no before/after. Booking set times are separate and are unchanged.
Common questions
Why didn’t load-in move when I changed doors? Clock time stays at the time you typed. Switch the item to Before or after event if it should follow doors.
Why is 3:00am after a 9:00pm start? Overnight clocks pick the nearest occurrence to the event start, so late-night items land after doors, not that morning.
Do I need to rewrite my templates? No. Older templates convert when they’re opened or applied.
