Custom fields for events, event items and contacts

Add extra fields on contacts, event items, and forms so you capture what you need without a new type every time.

Custom fields are extra fields that you can set on a contact, an event item (for example a door code on load-in), or a form.

Field kinds

When you add a field, pick a kind. The names match Add New and Manage Custom Fields in the app.

Contacts: Checkbox, Currency, Date, Email, List, Location, Long text, Number, Phone, Select (Multiple), Select (Single), Tags, Text, Time, Time range, URL.

Event items: Attachment, Checkbox, Contact, Date, Email, Flight, Guest List, Hotel, Link, List, Location, Long Text, Number, Phone, Select (Multiple), Select (Single), Tags, Text, Time range. Event items use the Time row on the item for clock time, not a Time field. Currency is on contacts and forms, not on event items.

Forms: Checkbox, Currency, Date, Email, File upload, Guest list, List, Location, Long text, Number, Phone, Select (Multiple), Select (Single), Tags, Text, Time, Time range, URL. File upload is only on forms. Contact, Flight, Hotel, and Attachment are only on event items.

Contacts

On a contact you can keep fields that everyone on the Account shares, and fields only you can see.

  1. Open the contact.

  2. Find Custom Fields.

  3. Choose Manage Custom Fields to add or edit fields the Account uses on contacts.

  4. Fill in the values on that contact.

You can also add custom fields only you can see from the same area, when you want a private note that is not part of the shared layout.

Event items

Event items already show the fields for that type — notes on a soundcheck, flight details on a flight. Change the type's fields in Settings → Events → Event Items so new rows start with the layout you want. See Add schedule and to-do items to an event.

On one item, choose Add New to add a field just on that row. Name it, pick the kind of field, and fill it in. That extra field stays on that item unless you also add it to the type in Settings.

Documents and forms

Forms can include their own questions. When a form is tied to an event item, some of those questions can match the fields already on that item. See Documents, templates, and forms.

Common questions

  • Will deleting a field remove old answers? Removing a field from the layout stops it showing on new edits. Values already saved on a contact or item stay in that record's history.

  • Can I reuse a field on every event? Put it on the item type in Settings, not only on one row.
