Items related to an event including soundcheck, load-in, load-out, flights, lobby call, todos are called event items. They appear on the calendar and in event views. You can add event items with a start time only, start and end time, no time, as a todo-item with checkbox and much more.
Each account is created with a default set of event items, which you can edit, delete, and add to depending on the needs of the account.
Add an item
Open the event from the calendar or Events.
Choose Add Item.
Pick a type from the list on your Account.
Set the time, or leave it open. Clock time stays at the time you typed. Before or after event moves with the event start or end. See Schedule item times.
Fill in the details that type shows — notes, flight fields, hotel, and anything else on that row.
Turn on a task when this row is a checklist item you want to mark done later.
Save. The item stays on the event.
When you share the run of show with crew, the Runsheet tab lists these items. See Read schedule times on runsheets.
Set Break is a gap or changeover on the schedule. Support and headline slot times stay on the booking.
Fields on an item
Each type has its own fields. A flight row looks different from a load-in row. Those fields come from the type: change them in Settings → Events → Event Items so every new row of that type starts with the same layout.
On a single item, you can also choose Add New, pick a field kind (text, list, contact, and so on), name it, and fill it in. That extra field stays on that item. It does not add the field to every other row of that type unless you put it on the type in Settings.
See Custom fields for the same idea on contacts and documents.
You can also
A connected assistant, or a key with Write Events, can add the same event items. See Connect an assistant and Create an API key.
Common questions
Do I make a second event for load-in? No. Add an event item on the event.
What if I deleted a type in Settings? It no longer appears when you add an item. Rows you already saved keep their history.
Can I leave the time blank? Yes. Set it later, or time it relative to the event start or end.
