Booking templates: save and reuse your offers

Save a booking offer once and reuse it, so every offer starts from the same terms, documents, and send defaults.

Written by Support

Booking templates let you save a booking offer once and reuse it, so every offer you send starts from the same wording and terms. A template can hold the offer and deal terms, documents, internal notes, the booking title, and your send defaults.

When to use a template

Templates save time when you send similar offers often, like a standard DJ booking or a support-act offer. Save the structure once, then create new bookings from it without retyping the terms.

Create a booking template

You can build one from scratch or save an existing booking as a template.

  1. Go to Settings, then open Booking Options and find the templates section.

  2. Choose New template to open the builder. It uses the same offer, documents, and notes tabs as a live booking.

  3. Set up the offer terms, attach any documents, and add the details you want to reuse.

  4. Give the template a clear name and save it.

Save an existing booking as a template

  1. Open the booking you want to reuse.

  2. Choose Save as template from the booking menu.

  3. Tick the sections to include, then save. The template appears in Settings, ready to reuse.

Use a template on a new booking

  1. When you create or edit a booking, open the template picker on the Offer tab and choose your template.

  2. The offer fills in with the saved terms. Adjust anything you like before you send.

Applying a saved template to a live booking is available on paid plans. Building, editing, and organising templates in Settings is free on every plan.

You can also

  • Save send defaults with a template, like the starting status, a hold, and the message to send.

  • Set a title template so each booking gets a consistent title automatically.

  • Link a booking template to an event template so the booking is created with the event.

  • Set a default, duplicate, rename, edit, or delete a template from its row menu in Settings.

Common questions

  • Will editing a template change bookings I already created? No. Templates only shape new bookings at the moment you apply them. Existing bookings stay as they are.

  • Can I change the offer after applying a template? Yes. A template is a starting point. Edit anything on the booking before you send it.
