Getting a document to the other side — and making sure they actually complete it — is the difference between a confirmed booking and one that stalls in limbo.
You can send any document by email straight from the booking, or let it travel alongside your booking offer automatically. And if you need a signature or form response before the deal confirms, booking conditions let you gate confirmation behind those steps. The other side sees a clear checklist and works through it — no back-and-forth required.
Sending a document by email
Open the booking and go to the Documents tab
Select the document you want to send
Click Send (or Resend if you've sent it before)
Choose recipients, edit the subject and body, then send
The email includes a link to the document's share page. Replies thread into the booking's Messages tab automatically.
Sending stamps the document as Sent and starts any scheduled reminders (like unsigned contract nudges).
Documents in booking offers
When you send a booking offer, any documents attached to the booking are delivered along with it. The other side sees them on the booking offer page under the Documents tab.
You don't need to send documents separately if they're already attached when the offer goes out — they're included automatically.
Booking conditions
Booking conditions are steps the other side must complete before the booking can be confirmed. Documents fit naturally into this flow.
Sign contract condition
Requires the other side to sign a specific contract before the booking confirms.
On the booking, go to the conditions setup (in the booking offer flow or booking settings)
Add a Sign contract condition
Choose which document must be signed
The other side sees the contract as a step in the booking confirmation flow. Once they complete their signature fields, the condition is satisfied automatically.
The condition checks their signature fields only — if the contract also has a Your side block, you can sign separately without blocking confirmation.
Submit form condition
Requires the other side to submit a form (like an advancing form or tech specs questionnaire).
Add a Submit form condition
Choose which form document must be submitted
Once they submit their responses on the share page, the condition is marked as complete.
How conditions appear to the other side
On the booking offer page, conditions show as numbered steps:
Review — read the offer details
Sign contract — complete signature fields on the linked document
Confirm — accept the booking
The other side works through each step in order. Documents open inline so they can sign or submit without leaving the page.
Reminders
You can set up automatic reminders for:
Unsigned contracts — nudges sent when a signing envelope is out but signatures aren't complete
Unsubmitted forms — nudges sent when a form has been delivered but no response received
Reminders are configured in the booking's reminder settings and fire on your chosen schedule.

Common questions
Do I need to send a document separately if it's in a booking offer? No. Documents attached to the booking are included in the offer automatically.
What if the other side signs but the condition doesn't clear? The condition checks counterparty signature fields only. If only Your side fields remain, the condition is already satisfied.
Can I change the document after sending? You can't edit a document that's been sent for signing. Cancel signing first, or duplicate to revise.
Do reminders go to everyone on the booking? Reminders target the party who needs to act — the signer for contracts, the respondent for forms.
