Setting up contracts and signatures

Add signature fields to documents, choose who signs, and send contracts for signing — all from the booking.

Contracts are how deals get locked in. Instead of emailing PDFs back and forth and chasing wet signatures, you can build a contract right inside the booking, add signature fields where they need to go, and send it for signing — all in one place.

The other side opens a link, signs on a clean hosted page (no login, no downloads), and you're notified the moment it's done. The signed copy is saved as a PDF on the booking automatically.

Whether it's a standard performance agreement you use every week or a one-off deal memo, contracts work with templates, variables, and custom blocks — so the content stays accurate and you don't have to re-type the same clauses every time.

Before you start

  • You need a rich document template or booking document (not a form or file upload)

  • The document must be attached to a booking

  • The booking needs a contact with an email on the other side (for Other side signatures)

Adding signature fields

  1. Open your document template in Settings → Templates, or a booking document on the Documents tab

  2. Place your cursor where the signature should appear

  3. Click Custom Blocks in the toolbar, then choose Signature

  4. A signature block appears in the document

You can add multiple signature blocks — for example, one for each side of the deal.

Choosing who signs

Click the settings icon on a signature block to open the Signature block type dropdown. There are three options:

Other side

The signer is the contact on the other side of the booking. Their name and email are pulled automatically from the booking.

Use this for: the artist, agent, manager, promoter, or venue contact who needs to sign.

Your side

The signer is someone from your account — whoever created or manages the booking. Their details are pulled from your account.

Use this for: your own signature as the sender of the contract.

Custom

The signer is a specific person not on the booking — a third party with a fixed name and email you enter manually.

Use this for: a lawyer, venue operations manager, witness, guarantor, or anyone else not already on the booking.

When you choose Custom, fill in all three fields:

  • Organization name — their company or entity (display only)

  • Full name — the person who will sign

  • Email — where the signing invitation goes

If you leave the name or email empty, the contract cannot be signed.

Dual signatures (both sides on one row)

For contracts that need both parties to sign:

  1. Add a signature block

  2. Click the settings icon

  3. Choose Other side for the primary signer

  4. Click Add counter signature

  5. Choose Your side for the counter signer

This creates a side-by-side layout — one signature for the other side, one for yours.

How signing works

From the share page (on-demand signing)

When the other side opens a contract with signature fields, they see a Sign document button at the bottom. Clicking it:

  1. Generates the signing envelope (PDF + signature fields)

  2. Redirects them to the hosted signing page

  3. After signing, they're returned to the document

Your side signing (counter-signature)

If the contract includes a Your side block, the Sign button appears on the booking document detail once the other side has completed their fields. Click it to open the hosted signing page for your signature.

Tracking progress

On the booking Documents tab and in the document detail, you'll see:

  • Not signed — no signatures yet

  • Partially signed — some fields complete, waiting for others

  • Signed — all signature fields complete

You also receive notifications when signatures are completed.

After signing

Once all signatures are complete:

  • The document shows a Signed status

  • A signed PDF (with all signatures applied) is available for download

  • The document is locked — no further edits

  • If the contract is a booking condition, the condition is marked as satisfied

You can also…

  • Cancel signing — if something needs to change, cancel the current signing request. The document unlocks for editing.

  • Duplicate to revise — create a fresh copy of a signed contract for a new version.

  • Set up reminders — booking reminders can automatically nudge the other side about unsigned contracts.

Common questions

  • Can I add signatures to forms or uploaded files? No. Signature blocks only work in rich documents (the editor).

  • What if the other side doesn't have the link? Send the document by email from the booking, or share the link directly. They don't need an account to sign.

  • What's the difference between Custom and Other side? Other side pulls the signer's name and email from the booking contact. Custom is for a fixed third party you specify manually — use it only when the signer isn't on the booking.

  • Can I have more than two signers? Yes. Add multiple signature blocks with different signer types. Each one becomes a separate field on the signing page.

  • What happens if I cancel signing? The existing signatures are discarded and the document unlocks for editing. You can then re-send for signing.

  • Does the other side need to create an account? No. They sign on a hosted page — no login or account required.
