When roster work is created on another Account

What defaults, templates, and settings apply when you create events and bookings for a roster member — or when a member creates work under your Account.

Written by Support

Roster sharing lets you run bookings and events across Accounts. For this flow, the most common setup is a venue group and its venues — a venue creates under the group's Account (with permission), or the group creates work for a venue. When work is created for a member or under a roster owner, some settings follow the owner, some the beneficiary, and some stay with whoever clicked Create. For the basics of owners, members, and Event for / Booking for, see How rosters work.

Two common setups

You create for a roster member — as the venue group, pick Event for or On behalf of (booking for) a venue; your Account owns the row, tagged for that venue.

A member creates under your Account — the venue turns on Set as owner for work I create under Rosters I'm In. You must allow it. Only one owner at a time.

From the owner's Settings

Event type, status, labels, schedule item types, starred default templates, currency, tax, reminders, and default schedule items all come from the owner's Account. Pickers do not offer Create New when you are not the owner — add custom types in the owner's Settings → Events.

From either library

Templates, documents, and saved messages can often be chosen from both the owner and your Account. Badges show whose library a template is from. Default templates on create still favor the owner.

Timezone and location

When Event for or booking On behalf of is a roster member, new events prefill timezone and location from that member's General settings.

Common questions

Why no Create New for schedule types? Types must live in the owner's Settings. Inline create would save on your Account and fail on the owner's event.

For account-wide defaults without roster delegation, see Defaults for new events and bookings in Settings.
