Deposit invoices

How to add a deposit on a booking offer and generate a deposit invoice when you’re ready — deposits and invoices stay separate.

Written by Emma

A deposit on a booking is the offer requirement (for example 50% on confirmation). A deposit invoice is the bill you send when you’re ready to collect that money. Adding a deposit does not create an invoice on its own.

Add a deposit (offer only)

  1. Open the booking Offer.

  2. Add a deposit (percentage or fixed amount, and when it’s due).

  3. Save the offer.

The deposit appears in the Deposits section and can power confirmation conditions (for example “must pay deposit before confirming”). No invoice is created yet.

Generate a deposit invoice

When you’re ready to bill for the deposit:

  1. Open the booking Offer or the related Settlement.

  2. Choose Generate invoice on that deposit.

  3. Review the draft, then send or open it as usual.

You can also ask the assistant to create a deposit invoice — only when you explicitly want an invoice, not when you only asked to add a deposit.

After the invoice exists

  • While the invoice is still a draft, changing the deposit amount or timing updates that draft.

  • Once the invoice has been sent or paid, void it before changing the linked deposit.

  • If the booking uses a pay-deposit confirmation condition, the other side completes it after they’ve been invoiced and paid (or the invoice is waived, depending on your setup).

Tips

  • Add the deposit early so the offer terms are clear; generate the invoice when you’re ready to collect.

  • Percentage deposits use the current settlement balance at invoice time — confirm deal terms first if amounts should match.

  • Xero sync (when enabled) runs when you create or send the invoice — not when you only add the deposit line.
